What you'll do
In this Senior Workplace Experience Specialist role, you will own the end to end experience of our Sydney office, ensuring it is safe, well run, and distinctly “Airwallex” for everyone who walks through the door. You will balance hands-on office operations with project work on space expansions, culture building events, and continuous improvement of how we use our workplace.
This role full-time, onsite based in Sydney (Monday to Friday).
Responsibilities:
Workspace Management: Ensure our Sydney facilities and offices are well maintained, safe, clean, and welcoming by partnering closely with building management, local Workplace colleagues, and in house IT.
Project Management: Support office expansions, reconfigurations, and new space requirements, working with building management and cross functional teams (IT, People, Finance, business leaders) to outfit spaces in line with Airwallex’s workplace vibe.
Community Engagement: Build, drive, and execute a calendar of social, wellbeing, educational, and Corporate Social Responsibility (CSR) events for the Sydney team, partnering with local social / culture committees, business leaders, and internal champions.
Vendor Management: Maintain effective relationships with cleaning staff, building management, neighboring tenants, catering and events vendors, and other suppliers to ensure seamless day to day office operations.
Budget & Invoice Management: Manage Sydney office related budgets for snacks, drinks, events, and space; work with Finance on purchase orders, invoice processing, and tracking spend against budget.
Onboarding Support: Partner with People Operations, IT, and hiring managers so new joiners feel welcomed and integrated into our workplace community, including workspace readiness, welcome moments, and office orientation.
Event & Hospitality Support: Support workplace events, including set up and pack down, coordinating logistics, and handling a variety of food and beverage items to deliver a high quality on site experience.
Provide occasional support to other Airwallex offices on workplace projects, employee experience initiatives, and operational coordination as needed.
Who you are
We're looking for people who meet the minimum requirements for this role. The preferred qualifications are great to have, but are not mandatory.
Minimum qualifications:
Hands-on experience in a people focused role such as workplace experience, office management, facilities, employee engagement, or hospitality / events management.
Skilled in managing vendors to deliver on deadlines and stay within budget for office supplies, employee events, and space expansion or fit out initiatives.
Proactive problem solver who spots issues early, seeks out opportunities to improve the workplace, and follows through to implementation.
Passionate about bringing people together, serving as a cultural touchstone, and acting as the friendly, approachable face of the office.
Naturally collaborative, with strong communication and stakeholder management skills; comfortable engaging and coordinating groups (including senior leaders) toward shared goals.
Highly organised and detail oriented, able to juggle multiple priorities in a fast paced environment while maintaining a high standard of execution.
Preferred qualifications:
Experience supporting workplace expansions, relocations, and space reconfigurations across multiple sites or business units.
Experience building and maintaining landlord/building management relationships, and coordinating multiple internal and external stakeholders (e.g., facilities, IT, vendors, contractors) to keep projects aligned and on track.
Experience in a high growth technology, fintech, or startup environment where structures, spaces, and processes evolve quickly.
Familiarity with workplace health, safety, and security practices for offices in Australia, and comfort partnering with building management on compliance.
Strong comfort with workplace and collaboration tools (for example Google Workspace, Slack, Zoom / AV setups) and an interest in using data and feedback to continuously improve the workplace experience.
